Customers, deals and emails in one place, not three

re:praesent keeps each customer as one record with their details, their deals and the emails you have sent them. A small team can see who inquired, where each deal stands and what has already been said, without a second tool or a second login. It replaces the mix of email folders, spreadsheets and notes on the sales desk.
Three questions, three different places
A customer rings about the quote you sent. Your colleague who dealt with it is on holiday.
You need three answers. Who is this person? Where does the deal stand? What did we write to them last?
The first answer is in a spreadsheet. The second is on a note beside the phone. The third is in your colleague’s email folder, which you cannot open. So you ask the customer to explain it all again.
The owners we work with did not ask for another list of addresses. They asked for one screen that answers those three questions.
What it does
In May 2026 we released people, deals and email copies together, in the same system. This is what software people call a CRM. We built it so that it does not feel like one.
- Each person is one record, with their details and everything that has happened with them.
- Each deal belongs to a person and has a title, a value, an owner in your team and an expected close date.
- Deals move through stages. By default these are New, In progress, New customer and Didn’t happen.
- You can look at your deals as a table, or as columns with cards you drag from one stage to the next.
- Each deal can be given to one person in the team, so it is clear whose it is.
- Emails you send to a customer can be attached to their record, so the history is complete.
How it works day to day
An inquiry comes in from the website. You call the person. If there is business in it, you turn the inquiry into a deal, and the name and phone number come with it.
As the deal moves on, you drag it to the next stage. When the customer says yes, it goes to New customer. When they say no, it goes to Didn’t happen. Nothing is deleted.
When the customer rings three weeks later, anyone in the team can open their record. They see the deal, its stage, the notes and the emails. Your colleague can stay on holiday.
If you already have your customers in a file, you can bring them in. The People screen imports from CSV, Excel and address book files.
What it does not do
It does not replace your email program. You keep writing in Outlook or Apple Mail. Copies of the emails you send reach the customer’s record through a hidden address you add to the message, which is described in the post on email copies.
It is not built for a sales department with its own administrator. It is built for a team where the people who sell are also the people who do the work.
What it costs
